The 5 Best CRM Software Vendors in 2026, Compared on How They Charge for AI

Compiled by Alex Gomez. Published October 29, 2026 · Last updated October 29, 2026.

The best CRM software for a small or mid-market team running sales and service together is HubSpot, Salesforce, Zoho CRM, Freshsales or Pipedrive. We priced all five the way a buyer actually pays in 2026: seats plus AI. The ranking flips once the AI meter is running.

TL;DR: Seat price is the wrong comparison; on vendor pricing pages read 29 Oct 2026, a 10-seat team handling 1,000 AI conversations a month pays $230 on Zoho CRM and $3,000 on Salesforce, a 13x spread.

  • Best all-in-one for growing teams: HubSpot
  • Best for complex, customised processes: Salesforce
  • Best value with AI included: Zoho CRM
  • Best if you already run Freshdesk: Freshsales
  • Best for a pure sales pipeline: Pipedrive

How we compared these CRM vendors

  • Scenario: 10 seats on the tier that unlocks each vendor's AI agent, plus 1,000 AI-handled customer conversations a month, at US list prices with annual billing.
  • Criteria: total monthly cost with AI, how AI is metered, sales and service coverage, ease of adoption (G2 rating), and room to scale.
  • Sources: each vendor's own pricing page and docs, plus G2 and Capterra review data, all read 29 Oct 2026. Zoho's US prices load by script, so we read them in a live browser.
  • Disclosure: this is Aissist's blog. Aissist sells AI agents that run on top of Salesforce and HubSpot, among other platforms. No vendor here paid for placement.

Which CRM is cheapest once AI is switched on?

Zoho CRM is cheapest with AI on, at $230 a month for our 10-seat scenario, because its Zia Agents carry no usage charge on Zoho-hosted models. Salesforce is the most expensive at $3,000, because Agentforce bills $2 per conversation on top of seats.

FreshsalesGrowth, $9$90Freddy AI Agent, $49 per 100 sessions$490$580
HubSpotService Hub Pro, $90$90050 credits ($0.50) per resolved conversation$500$1,400 + $1,500 onboarding
SalesforceService Cloud Pro Suite, $100$1,000$2 per conversation$2,000$3,000

*Zoho's agents page caps free use at 30M tokens a month; its FAQ says external models draw paid AI credits.

Notice the cheapest seat on the page. Freshsales' Growth plan costs $9, yet AI sessions are 84% of its bill. Salesforce's Starter Suite lists at $25, but nothing in this table runs on it. The sticker is the opening bid.

Two caveats keep the table honest. HubSpot's 3,000 monthly included credits would trim its AI line slightly. Salesforce's Service Cloud page says Agentforce is included in every edition, while its feature table says it is available for purchase; get that answer in writing before you sign.

How do the five CRM vendors compare on fit?

HubSpot and Salesforce cover sales and service in one platform, Zoho and Freshsales do it through sister products, and Pipedrive is a sales pipeline that hands service to integrations. That split matters more than any feature list.

The five CRM vendors, reviewed

Each block gives the vendor's definition, verified prices, two pros, two cons and a reviewer's own words, ending with who should skip it.

1. HubSpot — best all-in-one for growing teams

HubSpot is a CRM platform that combines sales, service and marketing hubs on one customer database, with a free tier and AI billed in credits.

Key facts: HubSpot's pricing page lists Professional at $90 per seat a month on an annual commitment, with 3,000 credits included; its credits rate sheet charges 50 credits per conversation the Customer Agent resolves.

  • Pro: the lowest metered AI rate here, $0.50 per resolved conversation, charged only on resolution.
  • Pro: a free CRM for 2 users with no time limit.
  • Con: Professional requires a one-time $1,500 onboarding fee.
  • Con: credits do not roll over, and the jump from Starter to Professional is steep.

"I love that I can quickly see the status of deals without having to follow up separately with each rep." — Alakh M., Sales Operations Manager, mid-market, G2 review

Our take: the safest default for a team that wants sales and service in one place. Skip it if you need deep custom objects on a tight budget.

2. Salesforce — best for complex, customised processes

Salesforce is the market-leading CRM, offering Sales Cloud and Service Cloud editions from $25 to $550 per user a month, with Agentforce AI metered or bundled.

Key facts: Salesforce's Sales Cloud pricing runs Starter $25, Pro Suite $100, Core $195, Advanced $395 and Max $550; Agentforce pricing is $2 per conversation or $500 per 100,000 Flex Credits. Salesforce held a 20.0% CRM share in 2025, according to IDC data published by Salesforce.

  • Pro: five tiers, from $25 Starter to $550 Max, so you rarely outgrow it.
  • Pro: a 30-day free trial on every Sales Cloud edition except Max.
  • Con: "Learning Curve" is the most-tagged con on G2, with 1,831 mentions.
  • Con: the priciest AI in this list at $2 per conversation.

"We are thrilled to be the #1 CRM for the 13th consecutive year." — David Schmaier, President & Chief Strategy Officer, Salesforce

Our take: the right call when your process is genuinely unusual and you have an admin. Skip it if nobody on the team wants that job.

3. Zoho CRM — best value with AI included

Zoho CRM is a low-cost CRM from Zoho Corporation with a free edition for 3 users and Zia AI agents included from the Professional plan.

Key facts: Zoho's US pricing page lists Standard $14, Professional $23 and Enterprise $40 per user a month, billed annually; its Zia Agents page says the agents are free and you pay only for tokens.

  • Pro: the lowest total in our scenario, $230 a month.
  • Pro: up to 30M tokens a month free on Zoho-hosted models.
  • Con: the lowest G2 rating of the five, 4.1.
  • Con: service lives in Zoho Desk, a separate product.

"Zoho is powerful, it is definitely not a plug and play system in some cases." — Tyler Q., Director of Business Development, small business, G2 review

Our take: the budget pick that still ships real AI. Skip it if you want polish out of the box.

4. Freshsales — best if you already run Freshdesk

Freshsales is Freshworks' sales CRM, priced from $9 per user a month, with Freddy AI Agent sold as a session-based add-on and a Freshdesk link for service.

Key facts: Freshworks' CRM pricing page lists Growth $9, Pro $39 and Enterprise $59 per user a month, billed annually, plus Freddy AI Agent at $49 per 100 sessions.

  • Pro: the lowest seat price and the highest G2 rating here, 4.5.
  • Pro: a 21-day trial of the full CRM.
  • Con: the page lists no free plan.
  • Con: Freshdesk data syncs every 15 minutes through a Marketplace app, not in real time.

"Freshsales automation rules only support simple if/then logic and cannot layer multiple dependent conditions seamlessly." — Jared M., IT Operations & Client Solution Manager, small business, G2 review

Our take: a natural fit for Freshdesk shops. Skip it if AI volume is high, because sessions add up fast.

5. Pipedrive — best for a pure sales pipeline

Pipedrive is a pipeline-focused sales CRM priced per seat from $14 a month, with AI features included in every plan and service handled through integrations.

Key facts: Pipedrive's pricing page lists Lite $14, Growth $39, Premium $59 and Ultimate $79 per seat a month, billed annually, with no separate AI charge; its AI docs limit AI email creation to Premium and up.

  • Pro: a 14-day free trial with no credit card required.
  • Pro: no AI meter to forecast.
  • Con: no native ticketing; service runs through apps such as its Zendesk integration.
  • Con: no customer-facing AI agent, so you buy one elsewhere.

"What I like most about Pipedrive is its simple and user-friendly interface." — Virat K., Business Development Executive, mid-market, G2 review

Our take: ideal for a sales team that lives in deals. Skip it if one tool must also run support.

How do you choose the best CRM software for your team?

Choose by where your customer conversations happen and how your AI will be billed, then check the seat price. Five rules cover most teams:

  • If sales and service must share one record, then shortlist HubSpot or Salesforce, because both run service on the same platform.
  • If budget is the constraint and you still want AI agents, then choose Zoho CRM Professional, because Zia Agents carry no usage fee on Zoho-hosted models.
  • If you already run Freshdesk, then choose Freshsales, because the official app links tickets to contacts.
  • If AI will handle thousands of conversations a month, then model the AI line first, because it already exceeds the seat line for Salesforce and Freshsales at 1,000 conversations.
  • If you love your CRM but not its AI pricing, then consider an agent layer that runs on top of it and bills per resolution, such as Aissist at $0.20 to $0.60 per resolution, because keeping the CRM avoids a migration.

The seat price is the smallest number on a CRM quote

The best CRM software for your team is the one whose AI meter matches your volume. Zoho wins on cost, HubSpot on all-in-one balance, Salesforce on flexibility, Freshsales for Freshdesk shops and Pipedrive for pure sales. Price your scenario with real conversation counts before you compare seats. If your CRM is already chosen, see how an agent layer works on HubSpot or Salesforce.

Frequently asked questions

Which CRM vendors include AI at no extra charge?

Pipedrive lists no separate AI charge on any plan, and Zoho says its Zia Agents are free on Zoho-hosted models. HubSpot, Salesforce and Freshsales meter AI by credit, conversation or session.

How much does Salesforce Agentforce cost?

Salesforce lists Agentforce at $2 per conversation or $500 per 100,000 Flex Credits, per its pricing page read in October 2026. The Max edition, at $550 per user a month, includes Agentforce.

Does Freshsales still have a free plan?

Freshworks' CRM pricing page lists no free plan as of October 2026, only Growth, Pro and Enterprise tiers with a 21-day trial.

Yes. AI agent platforms such as Aissist run on top of Salesforce and HubSpot and bill per resolution, so the CRM and its data stay in place.
